What exactly does a wedding planner do?

Kara: A wedding planner guides you through the exciting and emotional journey of planning your big day. They turn your dream wedding vision into reality by connecting you with the best vendors and handling all logistics, ensuring a stress-free experience. A seasoned planner anticipates potential challenges at the venue and location, with solutions in place so that the couple can focus on staying calm, present, and excited.

How does a wedding planner work with a venue – such as Wentworth by the Sea Country Club’s Wedding & Events Team?

Lia: The experience is incredibly seamless with Wentworth by the Sea Country Club’s Wedding & Events Team. Often, the wedding planner collaborates with the venue before clients finalize their date, gathering information on availability and pricing. If clients book the venue first, the planner steps in to manage communication, allowing couples to focus on other enjoyable aspects of planning, like dress shopping and honeymoon arrangements.

How far in advance should couples book a wedding planner?

Ashley: To ensure a smooth planning process, consider bringing a planner onto your team sooner rather than later. Hiring a planner early allows us to discuss essential topics like your budget, guest list, and wedding vision, helping to keep everything balanced and aligned throughout the planning journey.

Lia: Most couples book a wedding planner about 12 months before their wedding. Some decide to plan further ahead, and we even start planning 18 months before their wedding. Others want to plan their wedding fairly quickly, and we can plan a wedding in under 6 months or less!

What would you say sells your service to those couples who are debating the expense of hiring a wedding planner?

Kara: Sometimes it’s the fact that I keep them on track with everything, help them with all the vendor scheduling (transportation, hair and makeup, etc.). I am from the area so I know the ins and outs of accommodations, traffic, etc. But honestly, I think couples really love the idea of having an expert planner in their corner, there to plan the wedding of their dreams, and act as a sounding board for everything and anything else.

What tips can you share on incorporating elements of the venue/location into the wedding theme/décor – for example, our venue is a country club located on the coast?

Ashley: We love to embrace the natural aesthetics of a venue, taking advantage of its decor and surroundings. We encourage you to seek out a venue that embodies the elements you’re inspired by. This approach makes the design process easier and more cost-effective, as it allows your vision to complement the venue rather than requiring a complete transformation. This past summer at Wentworth by the Sea Country Club, we created a tasteful nod to the country club venue by designing a fun escort card display, using golf tees to hold the cards, placing them in trays of real grass, and incorporated stunning florals behind the display for that coastal summer theme.

What is your favorite part of being a wedding planner?

Kara: During the planning phase, I love getting to know my couples, working through all the details (logistical and emotional), and pulling the pieces together with the vendor team for a smooth and seamless day. On the wedding day, the ceremony is of course my favorite. I am the wedding planner crying in the back, ALWAYS.

Ashley: I truly cherish the relationships I build with the families I work with. Getting to know each couple over months—or even years—of planning and then witnessing their reactions when our creative ideas come to life is an incredibly rewarding experience!

Lia: Hands down my favorite part of being a wedding planner is the relationships I build with couples. By working with a select few couples each year, it gives me the opportunity to get to know them on a deeper level. This connection and trust that we build drives my passion for planning and designing one-of-a-kind wedding celebrations tailored for each couple that I work with!
